This is the privacy statement of Expats Housing Service BV (hereinafter “we”). In this statement, we describe how we handle the personal data of our customers, suppliers and clients. This privacy statement may be amended from time to time. The most recent version is published on our website.
Through the expatshousing.com site, privacy-sensitive data, or personal data, is processed. We consider careful handling of personal data to be of great importance. Personal data is therefore carefully processed and secured by us.
In our processing, we adhere to the requirements of the General Data Protection Regulation (“AVG”) and other applicable laws and regulations. This means, among other things:
- we clearly state the purposes for which we process personal data. We do so through this privacy statement;
- we limit our collection of personal data to only the personal data necessary for legitimate purposes;
- we first seek your express consent to process your personal data in cases where your consent is required;
- we take appropriate security measures to protect your personal data and require the same from parties processing personal data on our behalf;
- we respect your right to provide access to, correct or delete your personal data at your request.
We respect the privacy of our visitors and anyone else who uses our website and/or online services. We are the data controller. In this privacy statement, we explain what personal data we collect and use and for what purpose. We recommend that you read them carefully.

Use of personal data
Personal data is any data that can provide information about an identifiable natural person. We process your personal data because you use our services.
What do we record
We store and use only the personal data that is provided directly by you, in the context of the service you have requested, or which, when provided, it is clear that it will be provided to us for processing. We use the following data for the purposes stated in this privacy statement:

- Copy of ID
- Income data
- Statement of assets and / or liabilities
- Declaration of marital status
- Bank details

We use this personal data to execute agreements, to improve our services, and to facilitate communication with you as our customer.
With companies that process your data on our behalf, we enter into a processor agreement to ensure the same level of security and confidentiality of your data. We remain responsible for these processing operations. Our employees are required to respect the confidentiality of your personal data.
We do not process any special or sensitive personal data.
Creditcheck
To qualify for rental housing, we conduct identity and credit checks. We do these checks to protect tenants and landlords from abuse. This is done by using personal data, including your name, address and ID number, to request information from a certified credit and identity evaluator. They only provide data to us under strict conditions and according to applicable laws and regulations.
Early warning
Effective Jan. 1, 2021, the Municipal Debt Relief Act (Wgs), also known as Early Warning, went into effect.
Early detection is the way to prevent arrears from increasing further and developing into a problematic debt situation.
As property managers, we implement this law. This means that if we identify rent arrears, we will report it to the relevant municipality. In doing so, we will provide your name and address, phone number and email address to the appropriate municipality, including the amount of arrears and the due date of the claim.
Fraud and money laundering
We have an obligation under the Money Laundering and Terrorist Financing Prevention Act (Wwft) to investigate exactly who our customers are and to identify and report unusual transactions. As a result, so-called PEP and Sanction tests are conducted to qualify for rental housing. This is done by using personal data, including your name, address and ID number, to request information from a certified compliance specialist. They only provide data to us under strict conditions and according to applicable laws and regulations.
Public sources
We consult sources such as public records, newspapers, the Internet and public profiles on your social media to prevent fraud.
Goals and bases
We process your personal data for the following purposes:
- Sending our newsletter and other publications.
- Informing you about (changes to) our services and products.
- Development and improvement of our services.
- We analyze your behavior on the website in order to improve the website and tailor the offer of products and services to your preferences.
- We track your browsing habits across different websites that allow us to match our products and services to your needs.
The bases for processing your personal data are, depending on the case:
- granting permission;
- Entering into and executing the service agreement with you;
- for the protection of the legitimate interests of our clients, unless your interests, fundamental rights or freedoms outweigh your interests.
- meeting legal obligations.
Advertising
We may also notify you of our new products and services through social media, in addition to the information on our website.
Contact form and newsletter
We offer through our service the opportunity to ask questions through a contact form, where you will be asked to fill in various details to handle your question. You choose which data to provide in the process. The data you send us will be kept as long as the nature of the form or the content of your e-mail requires for a full reply and processing.
We offer a newsletter through which we want to inform interested parties about our products and/or services. Each newsletter contains a link that allows you to unsubscribe. Your email address will automatically be added to the list of subscribers.
Published
We do not publish your customer information.
Provision to third parties
Your information will expressly not be provided to third parties. Our service includes social media buttons. By doing so, the operators of these services collect your personal data.
Cookies
Cookies are used on our service. Cookies are also set through third parties engaged by us.
When you first visit our service, a notice will be displayed explaining why we use cookies. We interpret your continued use of our service as consent to this use of cookies.
You are free to disable cookies through your browser. However, please note that this may cause our website to stop working optimally.
We have made agreements with third party cookie providers regarding the use of cookies and applications. Google Analytics
We use Google Analytics and Hotjar to track how visitors use our service. We have entered into a processor agreement with Google to make arrangements for handling our data. Furthermore, we have not allowed Google to use the obtained Analytics information for other Google services, finally, we have the IP addresses anonymized.
Security
We take security measures to limit misuse of and unauthorized access to personal data.
Automated decision-making
We do not use automated tools to make decisions about individuals.
Retention Periods and Location
We will retain your personal data only as long as necessary to fulfill the purposes for which your data is collected, to satisfy our legitimate interests and for as long as we are required to do so by law. (such as the seven-year tax retention requirement for payment records).
If we process your personal data to answer a question from you, we will retain that data for four weeks so that we can answer possible follow-up questions or address any complaint.
We store your personal data on servers in the Netherlands.
For sending newsletters, we use Mailchimp with whom we have a processing agreement.
To best deliver our services, we use systems and vendors.
Third party websites
This privacy statement does not apply to third-party websites connected to our service through links. We cannot guarantee that these third parties will handle your personal data reliably or securely. We encourage you to read the privacy statements of these websites before using them.
Changes to this privacy statement
We reserve the right to make changes to this privacy statement. It is recommended that you review this privacy statement periodically so that you are aware of these changes.
Viewing and changing your data
For questions about our privacy statement or questions regarding access and changes to (or deletion of) your personal data, please contact us at any time using the information below.
You can also send us a request to see, change or delete this data.
